How to create an invitation card and envelopes in Microsoft Publisher

Create an envelope invitation card in Microsoft Publisher

Create the data source file: there you have to enter the guest list, indicating their names, surnames, address, province and city, as these fields will serve you later. You can do this in Microsoft Word or Excel, organizing it by columns and headings.




Create a card design: this can be done using a template or in a new file. In this step, configure the font, colors, text boxes, etc., with the format you will be using and any other accessories you want.

Create the mail merge for your invitation card

  • Go to the main bar, click the Select Data tab.
  • Then click Select an Existing List, there find and open the file you created from the data source.
  • The Mail Merge Recipients window will open, where you can sort in two ways:
  • The first way to do this is ascending or descending by clicking on the field headers, either by surname, first name, address, province or town.
  • The second way to do this is in the Restrict the list of recipients section, click on sort, where another window will open
  • On the Sort Record tab, you can specify which field you want to sort your file by, then click Accept.
  • After making the previous settings, click on accept.

Enter the merge field for your invitation card

Now positioned in the point of the card where you want the guest name to appear, go to the Insert combination field tab, a list will appear with the name of the fields, click on the name field. Click the Preview Results tab. AND if you are not satisfied with the appearance of the card, make the necessary changes.




Finally, click the Done tab and combine, then click Combine when printing, so you can save the file and make any changes in the future.

Create an envelope for your invitation cards with Microsoft Publisher

Configure the envelope: go to file, click on new, in the window that appears click on Other blank page dimensions; If you want to configure a particular size, go to the Custom section; then click on create new page format, in the dialog box that will be displayed, make the relevant settings; In the design type, click About.

To choose a default size, go to the Default section, click the Envelopes category, then under Integrated Templates, click the envelope size you want. For a style of colors and fonts, click Customize, there configure the colors and font or choose a standard style. Once you have made the settings, click Create.

Add sender and recipient information with Microsoft Publisher

Go to the Draw Text Box tab, to generate the top left box. Click on the Matching tab, then select the recipients and in the list that will appear click on Use an existing list, find the file and click on Open;  this way you can link the main file with the data file. It will show you a table with all the fields, if you agree click on accept.



Then click the Address Block tab, in the Insert Address Block window, configure the data and how you want it to appear in the envelope in preview, while clicking Accept, to complete this process.

After this process the table will be generated. Go to the Format tab, then click the Text Box Tool and set the alignment. In the drawing tools, click the margin guides to align vertically. Here you can set the box size, font and more.
